By its purpose, Microsoft OneNote does not belong to the group of programs for GTD and is an electronic version of the notebook. More precisely, this is a program in which you can create an almost unlimited number of notebooks. OneNote notebooks are suitable for storing any personal information and data. The inner content of the books is divided into sections (sections). Sections contain pages. It is possible to build a hierarchy of pages.

Collection of primary information

Therefore, we transfer all the primary information coming from external sources and which requires comprehension to the OneNote Inbox section. Letters, documents, ideas, thoughts, plans and so on. Create a separate page for each information item.

Treatment

We periodically process the data accumulated in the "Incoming" section. Thinking about what to do with this? How important the collected information is to us, whether it is a reference, a task or a project. Or is it a reminder of upcoming events? Or just rubbish?

If several steps are required to complete the task, we mark it with the "Project" tag.

It is convenient to add tags using the hotkeys Ctrl + 1, Ctrl + 2 and so on.

On the pages we place all information related to the task or project.
We copy files, letters, documents, pictures, links and so on.
Although, to be honest, things are not so simple with projects. How to organize them is a private matter for everyone. You can, for example, create a separate section for them, or even a group of sections. In a section group, each tab will correspond to a separate project. This is convenient if there are a lot of tasks within the project. On the other hand, with a lot of projects, there is a chance to get confused with bookmarks.

You don't need to do anything

All data from the "Incoming" section, which does not require any action, are processed according to the following rules:
  • we delete information of no interest;
  • important reference data, which may be useful, we transfer to the group of sections "Reference information";
  • tasks that require additional comprehension or for which the time has not yet come,
    move to the "Sometime" section; for this type of pages we put the tag "Sometime".

Scheduling tasks

There are cases that need to be reminded and completed at a certain point in time. Unfortunately, OneNote doesn't have an internal reminder mechanism. However, for those with Outlook, there is a workaround. On the OneNote page, simply add any flag from the Outlook Tasks list and Outlook will automatically create a task with a link to the OneNote page.

Overview

Any system requires constant monitoring. GTD will work if the user regularly reviews the data. This is a very important process as information tends to become outdated very quickly. The survey is best done daily and weekly at specific times.

Moreover, the program is free and can be downloaded from the Microsoft website .. The fact is that on the test computer I have a regular Windows 10, but on the main computer I have Windows 10 LTSB, in this version there is no OneNote, there are also no other tiled programs. Although, I just thought, but in this case, I can install OneNote at all? Well, okay, I'll find out everything later, but now we will get acquainted with the program

Okay, so what am I going to try to do? I started the OneNote program again, then I selected Personal Microsoft account there, and I tried to register. I filled in all the fields, then clicked on Next:

In short, guys, my patience has run out, it has been hanging for about 15 minutes, it's unrealistic a lot, I close the window, reboot and start the OneNote program again! And you guys know what? A joke was waiting for me here too! In short, I registered with Microsoft for the OneNote program, right? Well, now I have a Microsoft account, and to enter the computer, well, that is, in Windows, I had to enter the password for the account. So here are the things guys, know that by registering with Microsoft for the OneNote program, you are registering with a Microsoft account, which will be used as your account! You see, at the top there are buttons, well, or tabs, such as Home, Insert, Draw, View. The picture was inserted normally, is it possible to move it to another place, then I do not know, I tried it, but I personally did not succeed. Maybe there is no such function at all.

To use, then of course you need to be registered with Microsoft, then you start OneNote, create a record there, write something, insert pictures, draw there, well, in short, do what you want. Then you can close OneNote, then start again and the record will contain everything that was at the time of closing. Well, that is, the OneNote program saves everything, you will not lose anything. It is also important that all your records will be, as it were, in the Microsoft cloud, what does this mean? Well, that is, on another computer, on another Windows 10, you can go to OneNote using your mail and password, and after that you will be shown all your notes. These are the pies guys

Copy content using screen clippings

Content can be easily added to OneNote using a screen clipping. This allows you to take a screenshot of any part of the screen and then insert it into your note.

It often happens that it is difficult for us to remember where this or that file was saved, especially if it was a long time ago. OneNote suggests not to bother in this regard, but to immediately insert files into notebook entries. This will be especially true if your to-do list later requires using specific files from the device.

Add office documents or PDFs, videos or music to OneNote. You can simply drag the file into OneNote, after which a shortcut to the document will be automatically created and you will no longer have to search for it. It can be opened later with a double click (audio and video can be played directly in OneNote).

Outlook connection

OneNote itself is a very useful solution, but in conjunction with an email client, Outlook can become even more functional. When you create appointments in your Outlook calendar, you can add notes from your notebook to them using the Meeting Notes button. In this case, the notes can be either yours personally or shared by all participants.

In addition, cases and tasks created in Microsoft's email client can also be linked to OneNote. At the same time, it will be possible to mark the task as done directly in the electronic notebook. In OneNote itself, tasks for Outlook are conveniently created through the ribbon menu, the Home tab, the Tags area, and the Outlook Tasks button (this way you can immediately set the due date for the task).

Perhaps the biggest problem with paper to-do lists is that they take up space. Whether it's a notebook, a sticker, or just a piece of paper. And there is always the possibility of losing your records or not taking them with you when you need them.

There is no such problem with a digital pad. OneNote is available on all possible platforms, so if you're not in the habit of leaving at home mobile phone then your notes will always be with you. And even if you do not have the corresponding application installed on your mobile device, you can always access your notebook via the Internet (including this can be convenient if you are not using your computer - just log in to office.com under your account and get access to your office documents).

In this case, your notes will be neatly arranged on the right side of the screen on top of other windows.

This view can be very convenient when you are looking for some information on the Internet, say, getting ready for a vacation, or just constantly working on your computer. The to-do list is always at hand. In addition, this view will be relevant if you use the option to link files of various office applications, for example, OneNote with text editor Word. You can check if this option is currently enabled by the link icon in the upper right corner.
